OPERATION MANAGER

Our client is a private limited company leading in producing certified potato seeds through a decentralized model.  They have a network of 10,000 + farmers that have access to full bundled services - certified seeds, agrochemical and fertilizer inputs, extension services.  The organization has started a new company situated in Mau Narok, Nakuru County for value addition of chips processing for local and export markets.

ROLE SUMMARY

The role of the Operations Manager will be to oversee the daily operations of the organization to ensure efficiency, productivity, and quality. The Operations Manager will work closely with the General Manager and department heads to streamline workflows, implement policies, and resolve operational issues. By analyzing performance metrics and monitoring key processes, the Operations Manager should be able to identify areas for improvement and drive initiatives to enhance productivity, reduce costs, and improve service delivery.

DUTIES AND RESPONSIBILITIES

  • Develop, implement, and oversee operational policies and procedures to improve efficiency and productivity.
  • Continuously review processes to identify and eliminate bottlenecks, redundancies, or inefficiencies.
  • Ensure that all operations adhere to quality standards, safety protocols, and regulatory requirements.
  • Coordinate resources, including staffing, equipment, and budgets, to ensure optimal productivity.
  • Work with department heads to forecast resource needs and plan for future operational requirements.
  • Optimize resource usage to reduce costs while maintaining quality and efficiency.
  • Manage and supervise operational staff, providing guidance, support, and performance feedback.
  • Conduct training programs to enhance team skills and ensure compliance with company policies.
  • Foster a positive work environment and encourage teamwork and collaboration.
  • Track and analyze key performance indicators (KPIs) to assess the efficiency and effectiveness of operations.
  • Prepare regular reports on operational performance and provide insights to senior management.
  • Use data analytics to identify trends, address issues, and implement corrective actions where necessary.
  • Assist in developing and managing the operations budget, tracking expenses to stay within budgetary constraints.
  • Identify cost-saving opportunities and implement strategies to control expenses and increase profitability.
  • Oversee procurement activities, negotiating with vendors to secure the best pricing and terms.
  • Oversee supply chain processes to ensure timely procurement, production, and delivery of goods and services.
  • Manage inventory levels to meet production needs without excess stock, ensuring optimal storage and distribution.
  • Collaborate with vendors and suppliers to maintain a reliable supply chain and address any logistical issues.
  • Ensure customer satisfaction by maintaining high standards for product quality and timely service delivery.
  • Establish quality control processes and address any quality-related issues promptly.
  • Work closely with customer service teams to resolve any operational issues that may impact the customer experience.
  • Enforce health and safety standards across all operational areas, ensuring a safe working Environment.
  • Ensure compliance with industry regulations, government policies, and company standards.
  • Conduct regular safety audits and inspections, implementing corrective actions where needed.
  • Drive continuous improvement initiatives to increase productivity, reduce waste, and improve processes.
  • Research and implement new technologies or systems to enhance operational efficiency.
  • Encourage a culture of innovation and improvement within the team, involving them in problem-solving efforts.
  • Collaborate with various departments, such as HR, finance, and sales, to align operations with company objectives.
  • Maintain effective communication with stakeholders, providing updates on operational activities and performance.
  • Serve as a liaison between the operations team and senior management to convey strategic objectives.

REQUIREMENTS AND SKILLS

  • Bachelor’s degree in business administration, operations management, engineering, or a related field.
  • Master’s Degree will be an added advantage  
  • Relevant Experience: 5+ years of experience in operations, logistics, supply chain, or a related field.
  • Leadership Experience: Proven experience in a managerial or supervisory role, demonstrating the ability to lead teams and manage resources effectively.
  • Industry Knowledge: Specific experience within the organization’s potato industry is often required to understand unique operational demands.
  • Operational Knowledge: Expertise in operational functions, including process optimization, quality control, inventory management, and supply chain coordination.
  • Analytical Skills: Strong data analysis and problem-solving skills to identify inefficiencies, track performance, and make informed decisions.
  • Project Management: Ability to manage multiple projects and priorities, including planning, execution, and monitoring project milestones.
  • Financial Acumen: Proficiency in budgeting, cost analysis, and resource allocation to maintain efficiency and control expenses.
